CatalogIt’s straightforward interface and mobile work can reduce effort without AI. The reviewed documentation does not establish the complete research, deduplication and record-linking automation defined here. Contxt makes that combined workflow the central capability to evaluate.
CollectionSpace
CollectionSpace provides batch import and data tools. The reviewed documentation does not establish the full native research, deduplication and record-linking workflow. Contxt makes this daily automation a central part of its hosted proposition.
Authority data & vocabularies
CatalogIt
Linked profiles and structured fields are useful professional tools. They do not by themselves establish automatic reconciliation against GND, Wikidata and Getty ULAN. Contxt describes those cross-authority suggestions. Compare matching quality and curator review using the same records.
CollectionSpace
CollectionSpace supports authorities, vocabularies and a REST API. The specific automatic matching of ambiguous records across GND, Wikidata and Getty ULAN still needs verification. Test that workflow separately from importing a vocabulary or maintaining a local authority list.
Use the same demonstration brief for every supplier
Give each supplier a representative object, related people, an image, a curatorial text and a sample loan. Ask the team to import and link them, handle a duplicate, prepare a publication and export the result. Record which steps are included, which need configuration and which remain manual. Include permissions, accessibility and staff training in the discussion.

CatalogIt
CatalogIt offers additional users, storage and API or website integrations. Include the options you need in the operating plan; linked-data research depth is a separate question from team size.
CollectionSpace
Self-hosting CollectionSpace requires technical maintenance, but Lyrasis also supplies managed hosting, upgrades and support. Contxt offers managed automation and hosting, with an open core announced. Compare the remaining configuration work and the automation each hosted offer includes.
Compare total costs over the same period and for the same scope: software, editing and read-only users, hosting, migration, training, interfaces, public access, maintenance and support. Published prices are a starting point; quotations can cover different services. Open-source licensing does not remove operating costs, and a bespoke quote does not establish that a product is more expensive.
For each offer, establish hosting location, access rights, backups, updates, service levels and a usable export for a later move. A hosted product and self-hosted software assign these responsibilities differently. Have suppliers state which responsibilities remain with your institution.
Choose by requirements, not by institution size alone
Document what every shortlisted system meets, what needs configuration and what remains unresolved. Request a written scope for migration, publishing, interfaces, support and ongoing operation. The most suitable choice is the one your team can use and maintain with confidence.
Common questions
Why compare four pillars together?
A collection database can store an object well while leaving research, editorial work and publication in separate tools. The four-pillar comparison asks whether those activities share records, relationships and a reviewable workflow, and whether the institution can retain control of its data.
Does “not documented” mean a competitor cannot do it?
No. It means the sources reviewed do not establish the complete criterion. Configuration, optional products or newer releases may add capabilities. Ask for the specific workflow and its licensing in the written proposal.
When will Contxt Open Source be available?
Contxt Open Source is announced and will ship in Q1 2027. Open import/export and the hosted service are available; the pricing page will link to the source when it is published.
Does open source remove the need for technical support?
No. Self-hosting needs maintenance, updates and backups. Managed hosting can cover those responsibilities; CollectionSpace offers this through Lyrasis, and Contxt offers a hosted service. Compare the work left with your own team.
